Department Overview:
The Internal Audit ‘IA’ department is a key part of the Nomura’s corporate governance structure – the “third line of defence” – and the department’s overarching objective is to provide independent assurance to senior management and the relevant audit committees as to the robustness of the company's control environment, and to identify and report any weaknesses.
Role Overview:
Supporting the Head of Internal Audit for AEJ as a personal assistant and the Internal Audit Department with team administrative matters
Role Description:
• Schedule and diary management for the Head of Internal Audit AEJ (Managing Director) and senior members of the team including coordination and arrangement of meetings (internal, external and video conference)
• Make travel arrangements for the Head of Internal Audit AEJ and other senior team members.
• Support the preparation of meeting/presentation materials for the Internal Head of Audit AEJ and the issuance of internal audit reports to key management
• Support Internal Audit function on filing and record keeping of audit reports provided to regulators
• Support the wider Audit team on administrative matters as required, such as expense claim management, tracking of training records and being the point of contact for all office arrangements in Singapore
• Manage logistics for overseas Internal Audit visitors from other internationals Nomura offices
• Support the Internal Audit Social Committee to coordinate social activities for the department
• Any other administrative support and/or ad hoc initiatives as deemed necessary by Head of Audit
Skills, experience, qualifications, and knowledge required:
• Diploma Holder with at least 5 years of relevant secretarial experience in a financial institution
• Previous experience of diary management and meeting scheduling for senior executives
• Previous experience of office management and admin support to wider teams
• Ability to multitask with a positive attitude and demonstrate problem solving capabilities
• Strong interpersonal and communication (oral and written) skills, with the ability to work well with senior management, and engage stakeholders across the business
• Independent, flexible and a self-starter
• Proficient in Microsoft Office, Excel, PowerPoint, Outlook
