Department Overview
Reporting to the CEO, this position will focus on the effective, broad support for the CEO and the COO of Nomura Securities (Bermuda) Ltd (“Company”).
Role Requirements
This role will focus on the day-to-day requirements of those senior positions, including the following:
- Prepare and edit correspondence, communications, reports and presentations.
- Complete all data processing needs of, in particular the CEO, including agreements, instruments, policies and documents which the CEO is responsible for.
- Assist with documentary and data management, with the ability to manage data in accordance with Nomura policies and process and applicable law.
- Organize and provide knowledgeable executive support for shareholder and board meetings for all Nomura entities incorporated in Bermuda, with the ability to work with external corporate administrative services provider and internal and external legal counsel in relation to those meetings.
- Organize and schedule meetings and calls including precise diary and outlook management and internal and external client relations.
- Assist with vendor management, both internal and external to the Company in various jurisdictions.
- Maintain divisional intranet website.
- Make all travel arrangements, in particular for the CEO, including liaising with other Nomura entities and arrange and coordinate meeting schedules and assist Board members as required with their travel arrangements arriving to and departing from Bermuda.
- Liaise as necessary with internal and external service providers, including but not limited to counsel (in various jurisdictions), Nomura compliance, Nomura risk management and external corporate service providers and external counsel.
- Assist with ad hoc projects as required by the Company.
Skills, Experience, Qualifications, and Knowledge Required
- From a legal or financial services executive assistant background.
- Motivated, diligent learner that is able to work in a fast paced environment.
- Exemplary planning and time management skills.
- Excellent interpersonal skills and the ability to work well with all levels of internal management and staff.
- Ability to prioritize multiple responsibilities.
- Discretion and confidentiality.
- Self-starter with the ability to work independently and in a team environment.
- Methodical person with an attention to detail, together with an analytical approach to problem solving.
- Ability to work to short deadlines and make quick and reasoned decisions.
- Excellent communicator, with ability to liaise confidentially with Nomura and external service providers, including regulators and counsels verbally and in writing.
- Proficient with PC software applications including word, power point, excel.
