Role Description:
The Administrative Supervisor is a senior administrative professional responsible for providing high-level support to a Senior Executive while also overseeing and managing the administrative function across the Americas Global Markets business. This role combines executive administrative support with operational leadership, ensuring seamless coordination of senior leadership priorities while maintaining consistent administrative standards, processes, and performance across the administrative team. The position requires a highly experienced professional who has previously operated in a senior administrative leadership capacity, ideally within a complex, fast-paced corporate environment.
Role Responsibilities
- Provide strategic administrative support to the Senior Executive, including complex calendar management, meeting preparation, and coordination of leadership priorities.
- Manage confidential and sensitive information with the highest level of discretion.
- Coordinate senior leadership meetings and key business events.
- Serve as a key liaison between the Senior Executive and internal stakeholders, ensuring timely communication and follow-through.
- Supervise and manage the administrative staff across the Global Markets business, ensuring alignment of support to business needs and leadership priorities.
- Provide direction, mentorship, and performance oversight to the administrative team.
- Establish and maintain consistent administrative processes, standards, and best practices.
- Support resource planning and allocation of administrative support across senior leaders and teams.
- Maintain ongoing assessment of assistant coverage structures and staffing models, implementing timely adjustments to address changing business requirements, growth, and strategic shifts.
- Drive professional development and training initiatives for the administrative team.
- Translate management directives and strategic priorities into actionable guidance for administrative team.
- Align tasks and initiatives with the department's strategic priorities; monitor workloads/over time and reallocate resources as needed.
- Provide hands-on administrative support to coach and develop administrative staff and to cover peak workloads or staffing gaps where/if necessary, while maintaining supervisory responsibilities.
- Provide training and support to staff to ensure they have the necessary skills to perform their job functions effectively.
- Participate in recruitment efforts, including reviewing resumes, screening, and interview panels for hiring needs
Skills, experience, qualifications and knowledge required:
- Extensive experience in senior administrative roles, including prior experience supervising or managing administrative teams.
- Demonstrated experience supporting C-suite, Managing Director, or senior regional leadership.
- Proven ability to manage multiple priorities and stakeholders in a complex corporate environment.
- Strong leadership and team management capabilities.
- Exceptional organizational and communication skills.
- High level of professionalism, discretion, and judgment.
- Experience operating within large, matrixed organizations is strongly preferred.
- Advanced proficiency in Microsoft Office and collaboration tools.
