Department overview:
Operations is responsible for day-to-day operations supporting pre-trade and post-trade activities across client services, shared services, risk & control, strategic analytics and business re-engineering and management. Operations Management is responsible for overseeing the whole operations front to back, workforce, budget and strategic initiatives working closely with our transformation and implementation team on carrying out those initiatives.
Role description:
The Business Management Associate is responsible for supporting the senior management of the Operations department and will report to the Head of US Operations and Global Head of Operations. The role is part of small team, with support from senior business managers and administration team.
Key Responsibilities:
Departmental Financial Management:
Departmental budgeting, forecasting, budget to actuals analysis and management reporting
Management accounting, primarily business and project cost allocations
Oversight / review of financial accounting and associated controls, including accruals, expenses, T&E
Coordination of personnel related matters with managers across the department and Corporate HR
- Manage organization charts, processing expenses, client relations and supporting senior management
- Onboarding new hires
- Equipment inventory and floor management
- Manage calendar and client relations for department heads
- Receive and interact with incoming visit
Communications:
- Responsible for all departmental communications (townhalls, intranet, notices, newsletters, distribution lists, etc)
- Coordinate departmental management meetings (set agenda, materials etc)
- Prepare and edit presentations
- Coordination of departmental events
General:
- Coordinate with Sourcing and Legal departments as required
- Office management and general administration
Skills, experience, qualifications, and knowledge required:
- 4+ years in a business management / chief of staff type role within a Financial Services matrix organization
- Bachelor’s degree in business, Finance, or similar field
- Strong analytical, and multitasking skills
- Excellent communication both verbal and written
- Strong relationship skills and ability to develop and maintain strong and mutually supportive working relationships both inside the Operations group and within the broader organization
- Proficient with MS Office, particularly with Excel and PowerPoint
