Roles and Responsibilities

 

We are seeking a detail-oriented Administrative Assistant to join our International Wealth Management Business Management team. 

This role will provide critical administrative support with a primary focus on travel approval reviews a policy compliance, while also handling various administrative tasks to ensure smooth business operations.

                

 Responsibilities: 

 

  • Travel Management & Compliance (Primary Focus)
  • Review and process travel approval requests from Relationship Managers, Product teams, and Investment Advisors
  • Conduct comprehensive policy compliance checks on all travel-related expenses including:
  • Airfare bookings and fare class verification
  • Hotel accommodation rates and standards 
  • Duration of business trips and justification
  • Meal allowances and entertainment expenses
  • Ground transportation arrangements
  • Identify and flag out-of-policy items for management review 
  • Maintain accurate records of travel approvals and rejections o Coordinate with travelers to resolve policy discrepancies
  • Generate regular reports on travel spending patterns and policy adherence o
  • General Administrative Support
  • Provide comprehensive administrative support to the Business Management team  o Manage calendars, schedule meetings, and coordinate appointments
  • Prepare and distribute meeting materials and documentation
  • Handle correspondence and communication on behalf of team members o
  • Maintain filing systems and ensure proper document management      
  • Support special projects and initiatives as assigned    
  • Assist with expense report processing and reconciliation
