Job Title : Equity & Deferred Compensation Specialist

Job / Group Overview:
The Equity and Deferred Compensation team manages all aspects of the firm’s Deferred Compensation on a global basis, including award vesting and payment, stock buyouts, equity award trading and award administration. The role focuses on supporting the end-to-end administration of the firm’s Deferred Compensation programs, including Restricted Stock Units, phantom stock awards, and performance-based awards. It provides an excellent opportunity to develop expertise within the Equity and Deferred Compensation function by supporting day-to-day operations and global projects.

Key Responsibilities:
Plan Administration
- Support end-to-end administration of deferred compensation operations in accordance with established policies, procedures and plan rules, including grant processing, vesting events, settlements, and leaver processing
- Assist in preparing buyout estimations and deferred award grants for new hires
- Support trading of vested shares on vendor platform
- Coordinate with global stakeholders to manage tasks to completion
- Respond to employee and stakeholder queries within agreed service levels
Compliance and Reporting
- Maintain Standard Operating Procedures (SOPs) and operational controls
- Ensure compliance with internal policies, regulatory requirements and data privacy standards
- Assist with the preparation of data and reports including those for regulatory compliance, financial disclosures and tax regulations
- Support business continuity activities and cross-functional operational initiatives as required
- Ensure adherence to quality standards, service levels and established timelines
Data Management and Analysis
- Maintain accurate participant and award data across HR systems and vendor platforms
- Assist with data analysis, modelling and forecasting
- Create presentations and materials for management review
Employee Communications
- Help develop and maintain educational materials and FAQs to employees and stakeholders
- Support employee communication initiatives related to deferred awards
Process Improvement and Projects
- Support projects, system enhancements, testing activities and other operational initiatives
- Identify opportunities to streamline plan administration processes
- Stay current on industry trends and best practices
Required Skills and Experience:
- 1-3 years of experience in employee share plans, deferred compensation, compensation, HR operations, Finance or Accounting.
- Basic understanding of deferred compensation or employee share plans.
- Strong analytical and numerical skills with excellent attention to detail.
- Excellent Microsoft Excel skills (including complex formulas, vlookup, pivot tables)
- Strong Microsoft Word and PowerPoint skills.
- Comfortable learning new software systems and databases.
- Experience in data validation, reconciliation and report preparation.
- Strong verbal and written communication skills.
- Ability to work effectively in a team and collaborate with stakeholders
Desirable skills:
- Basic knowledge of HR systems (e.g. SuccessFactors, Workday).
- Basic knowledge of global share plan platforms (e.g. EquatePlus).
- Exposure to payroll or compensation related processes.
- Basic understanding of stock buyout valuations.
- Awareness of the global regulatory landscape for Financial Services firms.
- Advanced Microsoft Office Skills (e.g. Excel macros and VBA).
- Understanding of operational risk management, compliance and internal control frameworks.
- Experience with continuous improvement initiatives and maintaining process documentation.
- Exposure to the project lifecycle and experience participating in UAT.
