Role description

 

The candidate must have strong organizational and administrative skills and be able to work in a dynamic environment to efficiently support workforce planning operations and project coordination. The candidate will coordinate communications with key stakeholders across HR, Operations, Client Services and Technology, have the ability to work independently to provide consistent administrative support throughout project lifecycles and maintain a strong attention to detail in all documentation and scheduling activities.

  • Strong organizational and communication skills with the initiative to identify and resolve administrative challenges in workforce planning projects
  • Ability to proactively organize administrative processes and provide efficient coordination support to improve project delivery efficiency
  • Demonstrate confidence in organizing meetings and coordinating communications with senior management regarding project updates
  • Manage administrative relationships and coordinate communications with stakeholders in HR, Operations, Client Services and Technology functions across all regions

 

Skills, experience, qualifications and knowledge required

 

  • Administrative or project coordination experience, ideally in workforce planning, resource management, or project support roles within professional services
  • Good understanding of workforce data entry, file management and document organization through project management systems and databases
  • Experience with maintaining project documentation – organizing consultant profiles, scheduling meetings, tracking project timelines and coordinating communications
  • An understanding of supporting current workforce operations, organizing project materials, consolidating meeting notes and distributing updates to senior stakeholders
  • Ability to be proactive and use initiative to improve administrative processes and help maintain project management systems and documentation
  • Strong communication skills to accurately coordinate between workforce stakeholders, schedule meetings with senior management and organize training materials for end users
  • Ability to take ownership of administrative tasks and project coordination activities from project initiation through completion
  • Proficient in effectively organizing and maintaining complex project documentation and workflows using a variety of tools and ability to distribute these to business and technology stakeholders
  • Experience with project management tools and administrative systems, e.g. JIRA, Confluence, Microsoft Project, SharePoint etc
  • Coordinate meeting schedules for project implementation activities with ability to identify scheduling conflicts and communicate with respective teams for resolution
  • Willingness to help others across the department by organizing training sessions, maintaining resource libraries and coordinating workshops

 

 

Desirable skills and experience

 

  • Understanding of consultant scheduling, project timeline tracking, meeting coordination, and administrative support for resource management processes
  • Some experience of using project management and administrative tools that would support workforce coordination e.g. Microsoft Office Suite, project scheduling software, database management systems
  • Basic understanding of consultancy operations, project delivery processes and client engagement administrative requirements
  • Familiarity with workforce planning terminology and administrative support for project management activities
