Department overview:

The successful candidate will be part of the Real Estate & Services department based in Nomura’s European headquarters, 1 Angel Lane (City of London).  The department is responsible for all Nomura’s properties and business services for EMEA

 

The main activities of the RE&S department include property acquisition, disposal and space utilisation, general operation, administration, maintenance and repair, corporate travel and services, health, safety & environmental, EMEA support and insurances.  In addition, manages the contents and all services required to provide a high quality, safe and secure environment for staff, clients and visitors.

 

Reporting to the Head of Travel, EMEA for Nomura International plc, the primary role will be providing support and assisting with day to day management of Nomura Travel Services in the EMEA region.

 

Specific Responsibilities

 

  • Daily Operations:
    • Primary contact for daily operations of travel queries
    • Reviewing and updating detailed documentation for the Region, that includes the EMEA Travel policy, procedures and guidelines
    • Profile connection and copy invoice management
    • Building long term relationships with Nomura preferred vendors, external clients and other Nomura companies
    • Processing of monthly invoices for Nomura preferred travel vendors
    • Testing of new software platforms, including the creation of user guides within the Nomura required format
    • Managing the vendor points systems for lounge passes, upgrades and new tickets
  • Ground Transportation
    • Primary contact for preferred Ground Transportation vendors, handling queries and day-to-day operations
    • Overseeing the management of the relationships, attendance in regular meetings and events.
    • Co-Ordinator for communication and reporting for the business
  • VIP Service / coordinator:
    • Primary contact for VIP Traveler requests for Airline / Hotel upgrades
  • Communication:
    • Collation, creation and circulation of Internal Travel Booker Communications
    • Updating of Nomura Travel Intranet pages
    • Management of all Travel booker events, both virtual, on/off site
    • New starter training for travel bookers, specifically around travel policies, tools and systems

 

  • Reporting:
    • Monitoring of daily pre-trip data for staff whereabouts and security, follow up with any incidents
    • Reviewing and analyzing post trip data
    • Ad-hoc data requests from the business, request, review and circulate
    • Compliance and Risk Management reporting

 

Risk Management

  • To assist in the identification and assessment of operational risks within the function
  • To develop and monitor the effectiveness of operational risk controls within the function

 

Skills, experience, qualifications and knowledge required

 

  • Travel industry knowledge is required
  • A strong team player who is outgoing, enthusiastic, willing, customer focused and adaptable with the ability to develop strong relationships with both clients and people within the same group 
  • Excellent interpersonal skills and communication skills, both oral and written
  • Flexible approach, be self-managing and have the ability to work on their own initiative  
  • Proven customer-care skills, both written and verbal, and to communicate effectively at all levels.
  • To demonstrate their ability to multi-task managing high volumes of work both varied and at times complex in nature.  
  • Good organizational skills, have a strong presence, and are able to remain calm and perform well under pressure
  • Ability to work on own initiative 
  • Exercise good judgment and anticipate changes as and when required by the group
  • Competent in the use of standard IT software packages
