Department Overview:
Nomura Asset Management is headquartered in Tokyo but NAM-UK is the largest overseas office. Role is based within the NAMUK Admin Team (3 FTE) which covers general admin functions across both NAM UK and the NAM EU London Branch for around 100 staff.
Role Overview:
The ideal candidate would be a self-motivated team player with previous experience experience in a similar role, not necessarily from marketing, client services or financial services. The candidate must be able to priortise individual and team work loads and deliver high quality, accurate work to meet standards required by internal and external parties.
Main Duties and Responsibilities:
- Executive/Senior Management Support & Calendar Management: manage complex diary schedules and coordinate high-level meetings across multiple time zones and stakeholders
- Travel Management: Coordinate comprehensive travel arrangements including international flights, accommodation, ground transportation, and visa requirements
- Travel & event/roadshow planning and booking
- Financial Administration: Process expenses
- Team coordination and administration: to include organising and booking meetings, circulating notes, managing internal administrative processes and other ad-hoc requirements such as printing, courier bookings
- International visitor and guest coordination: Plan itineraries for visiting clients and/or guests and executives from the firm’s global offices, ensuring smooth logistics
- Departmental Liaison: Serve as a primary point of contact for the department, managing ad-hoc requests and providing responsive support to all team members
- Documentation & Meeting Support: Prepare comprehensive meeting materials, record accurate minutes, and maintain organized document repositories to ensure seamless information flow
Skills & Experience:
- Previous experience in a similar role in an EA capacity
- Skilled in diary management and managing multiple calendars
- Attention to detail with excellent organisational ability
- Excellent people/communication skills and confident liaising with senior stakeholders
- Very strong organisational skills
- Proactive and flexible approach with limited need for direction or supervision
- Ability to work effectively under pressure and in a fact paced environment
- Proficient in spoken and written English
- Strong with MS Word, Excel, PowerPoint and Outlook
