Role description
This is an excellent opportunity for a professional executive assistant looking for an expanded and more demanding role as an officer administrator. The successful candidate will directly support senior executives within the Nomura Chief Technology Office leadership team alongside overseeing office administration and offering proactive support to the wider team to ensure effective operations. This requires an outstanding candidate with the ability to multi-task, forward plan, use initiative and judgement, and be proactive in a fast-paced dynamic environment. Key responsibilities:
Key objectives critical to success:
- Executive Support & Calendar Management: Manage complex diary schedules and coordinate high-level meetings across multiple time zones and stakeholders
- Documentation & Meeting Support: Prepare comprehensive meeting materials, record accurate minutes, and maintain organized document repositories to ensure seamless information flow
- International Visitor Coordination: Plan itineraries for visiting executives from Nomura's global offices, ensuring smooth logistics
- Financial Administration: Process expense reimbursements and manage account reconciliation procedures in strict accordance with Nomura policies and regulatory requirements
- Travel Management: Coordinate comprehensive travel arrangements including international flights, accommodation, foreign exchange, ground transportation, and visa requirements
- Compliance & Governance Oversight: Monitor departmental adherence to regulatory compliance standards and internal governance protocols
- Onboarding & Equipment Management: Facilitate seamless integration of new team members through setup coordination and procurement of necessary technology and equipment
- Invoice Processing & Vendor Management: Handle invoice processing workflows and maintain accurate financial records
- Human Resources Support: Provide operational HR support including tracking hiring progress, coordinating interview logistics and scheduling
- Operational Support: Provide comprehensive administrative support including meeting room reservations, document reproduction, business card ordering, courier services, and other operational requirements
- Departmental Liaison: Serve as the primary point of contact for the department, managing ad-hoc requests and providing responsive support to all team members
Skills, experience, qualifications and knowledge required
- Ability to multi-task and manage ever changing and conflicting priorities
- Proficient in Microsoft Outlook, Word and Excel
- Attention to confidentiality of information at all times
- Strong organisational skills
- Ability to interact confidently at all levels
- Proactive and flexible approach with limited need for direction or supervision
- Strong written and verbal communication skills
- Ability to work effectively under pressure and in a fast-paced environment
