Role description:

This is a high-profile Executive Assistant role supporting a small group of senior bankers within one of the division's busiest and highest revenue-generating teams. The successful candidate must think quickly, prioritise competing urgent demands across multiple principals and display excellent time management. The person should demonstrate the ability to use initiative, be resourceful and remain calm under pressure, and act as a trusted right hand to the senior bankers. Previous experience supporting senior bankers in an Investment Banking front-office environment is essential.

 

Role responsibilities overview:

  • Act as the primary point of contact and trusted right hand to the senior bankers, managing day-to-day priorities and providing seamless administrative, logistical and organisational support
  • Provide dedicated support to the Group Head's direct reports (Managing Directors and senior bankers), balancing and re-prioritising competing demands across multiple principals
  • Own and proactively manage complex, high-volume calendars; schedule and re-arrange virtual and in-person meetings at short notice and coordinate calls / meetings across multiple time-zones
  • Arrange extensive domestic and international travel including detailed itineraries, logistics, accommodation, ground transportation, visas, FX and related expense management
  • Manage end-to-end expense, invoice and reimbursement processing for the senior bankers in line with the firm's policies, tracking approvals and resolving queries
  • Maintain the highest level of confidentiality and discretion when handling sensitive client, deal or firm information
  • Support with team administration – organising team meetings, tracking actions, assisting with interview scheduling and the onboarding of new hires, and maintaining team distribution lists and org charts
  • Liaise effectively with internal departments (e.g. Finance, HR, Compliance, IT, Legal and Business Management) to ensure seamless execution of admin tasks
  • Provide general office support and cover for other assistants across the team during absences and peak periods
  • Handle telephone duties including screening calls, taking comprehensive messages and maintaining client contact / CRM records
  • Act as a first point of contact for senior leaders, clients and colleagues, fielding queries and responding to fast-moving issues as they arise with professionalism and sound judgement

 

Skills and experience required:

  • Proven experience providing executive support to senior bankers (Managing Director title equivalents)
  • Relevant experience within an Investment Banking (or financial services) front-office environment in a full-time role is essential
  • Demonstrated ability to support in a demanding, high-revenue, fast-paced environment
  • Exceptional administration, organisational, prioritisation and multi-tasking skills, with the ability to juggle competing demands and shifting priorities calmly
  • Excellent verbal and written communication skills, with a confident and professional manner
  • Strong attention to detail and a high level of accuracy
  • Ability to work effectively under pressure, exercise sound judgement and work on own initiative with minimal supervision
  • Discretion and a strong awareness of confidentiality when handling sensitive information
  • Effective team player with well-developed interpersonal and relationship-building skills
  • Advanced proficiency in Microsoft Office products (Outlook, PowerPoint, Teams, Excel and Word); familiarity with expense / travel systems an advantage
  • Flexibility to accommodate the demands of a busy deal team, including occasional availability outside of standard hours
  • Fluency in additional European languages advantageous, e.g. Italian (not essential).
