This is an Executive Assistant role for the Investment banking division supports the International Head of Investment Banking, the Investment Banking COO Team and direct reports including Head of Digital Innovation at MD-level. Given the nature of the role, the person needs to think quickly to prioritise on urgent tasks and display good time management.  The person should demonstrate the ability to use initiative and be resourceful in a very busy demanding role. Previous IB experience would serve well in this role.

 

Role description:

  • Extensive diary management and meeting co-ordination (room bookings, printing confidential materials, preparation of materials and ADHOC administrative duties)

  • Co-ordination of flights, tickets, FX, Accommodation and ground transportation

  • Expense processing using the internal Nomura systems and Amex reconciling

  • Invoice processing and approval of project invoices

  • Telephone duties including comprehensive messages and screening calls

  • Providing absence cover to other team members for holidays

  • Printing of very confidential material and collecting currency from Service centre

  • Preparation and distribution of papers ahead of committee meetings

  • Checking bankers in for flights

  • Maintaining a log of holiday & planned/un-planned absences for the team

  • Expenses management and processing receipts efficiently and in accordance with Nomura’s policies

  • Ad-Hoc administrative duties

  • Set up for new joiners

  • To act as a first point of contact for a number of senior bankers, clients and colleagues, fielding queries, responding to fast moving issues as they arise in the workplace

  • Reacting to urgent client requests

  • Opening calls/video conference links when required

  • Arranging and liaising with couriers

  • Collecting clients from reception and escorting them to meeting rooms
