Overview

 

We are looking for a team assistant with Japanese, English and German language skills to provide a diverse range of assistant services primarily to our local Management Board members. In addition, the role will support Japanese expatriates and visitors as well as co-ordinate Japanese Corporates roadshow activities in Frankfurt.

 

Key objectives critical to success:

 

  1.    Assistant Services to local Management Board members and Legal Entity Management team members
    -    Schedule coordination: Set up of meetings and coordinating calendars 
    -    Travel arrangements and expense reports preparation
    -    Booking of meeting rooms, restaurants and cars
    -    Other assistant services upon request
    -    Close cooperation and communication across divisions and regions

 

2.    Japanese Expatriates & Japanese Corporate Activities Support:


-    Support services to Japanese Expatriates regarding local registrations, insurance, housing or schooling
-    Support services to HR and Real Estates in relation with Japanese Expatriates 
-    Communication with and logistics arrangements for visitors from/to Japan, set up of meetings and local travel schedules
-    Communication with Nomura Tokyo Administration and provision of relevant information
-    Assistant services to Germany Country Head on Japan related issues (DJW, Frankfurt Hojinkai, Japanese Consultate in Frankfurt, JIHK Düsseldorf, etc.)

 

Skills, experience, qualifications and knowledge required:


•    Proficiency in German, Japanese and English;
•    Demonstrated ability to coordinate schedules, manage multiple calendars, and prioritise tasks efficiently to support high-level executives and teams.
•    Experience in arranging complex travel itineraries, preparing expense reports, and handling logistical needs such as booking meeting rooms and transportation.
•    Proven track record in providing administration support, including managing requests from board members and coordinating cross-divisional communication.
•    Ability to work closely across teams, including HR, real estate teams, and international offices to facilitate seamless operations and support expatriate needs.
•    Strong attention to detail and experience ensuring compliance with relevant policies and procedures.
